Search and filter content items

Searching for specific content item is made easy with advanced filtering and sorting options. Apart from the options to filter by status and language, you can create custom filters that aggregate complex criteria. For example, you can filter simultaneously by category, tag, last modifier, and date range. This makes finding any content within your system quick and easy. Custom filters enable you to create more complex dependencies and relations between items, for example, by displaying results that are simultaneously filtered by status, tag, and category.

To search for a particular item in a list:

1. Start typing the name or part of the name in the Search field.
2. Click Search.
   Even if you type a single letter, you click Search, you get a results list with items starting with that particular letter.

   NOTE: The Search field is case-sensitive.
   

   A list of results matching your search appears.
3. To return to the list of all items, click Clear.

1. Click the Filter icon .
2. If your content is translated into multiple languages, use the dropdown menu to select the language, in which you want to filter items.
3. You can sort the results list by the following criteria:
   • Last modified on top
     This option is selected by default.
   • Last created on top
   • By title (A-Z)
   • By title (Z-A)
4. Filter content items by:
   • Ownership
     You can display content items, created only by your user.
     
   • Status
     To filter items according to their current status, click the respective status from the list.
     If you want to filter items by more than one status, click Custom filter and then use  (Select status) to set your custom filter.
   • Translation status
     You can only use this option in multilingual mode.
   • Outdated content
     To display outdated (expired) content items only, click the Outdated filter.
     

     PREREQUISITES: This filtering option is not displayed on the user interface by default. To be able to see and apply the filter, the outdated content feature must be enabled. For more information, see Outdated content settings.
     

Optionally, set a custom filter by clicking Custom filter and filter simultaneously by:

• Category
• Tag
  You can also filter content by categories, tags, and custom classifications.
  If you have added a custom classification field to content, it appears in the filter options. For more information, see Custom fields.
  
• Author
• Status
  You can filter content items by their status. For example, Published and Draft.
  For more information, see Workflow statuses.
• Date modified
  You can filter content according to the date they were modified. When you click a time interval, the system displays all content items updated during this time interval. The last updated are the first in the list.
• Last modified by
  To filter content according to the user who is the last modifier, click  (Select editors) in Last modified by dropdown box. Then select a user from the list.
  

  NOTE: This filter uses the language data and displays the editor(s) who last modified a content item in any language available.

For each option, apart from Date modified, just start typing to search for a tag, for example, and you get a list with narrowed down results.
